Synopsis of Court Resurface Meeting - Jan 13th 2019

Dear Equity Members,

This is a synopsis of the meeting held at the Club on Sunday, January 13.

The purpose of the meeting was to thoroughly inform members about the re-surfacing options and their finances in order to prepare for voting on the options at a meeting at the club at 4pm on Sunday, February 10.

Approximately 50 members attended.

The agenda proceeded in the following order:

The board thanked David Steinberg for the work on the re-surfacing issue, Karen Gee and Lonnie Dillard for their work on the finances and Sylvia Dos Remedios and Melissa Kennedy for updating the by-laws.

The board announced the appointment of Linda Morris to serve out the term vacated by the resignation of Melissa Kennedy.

Karen Gee presented new information, caused by a rise in the contractor’s bid about the financing plan for four resurfacing options. These plans were generated by Joan Martin, a respected professional accountant and Karen and other members of the finance committee. Click here to see attachment 2

David Steinberg presented the various opinions regarding the durability of the re-surfacing materials. Click here to see attachment 3

The floor was then opened for discussion. Dominant themes were concern over rising dues and the worry that the new surface would not last the 15-20 years the contractor predicts.

The board announced its recommendation of a phased plan: Re-surface all 6 courts with slip sheet and Plexipave now. Near the end of the 5-year warranty, assess how well the slip sheet is preforming. Meanwhile our reserves will increase and some of our expenses will decrease (PG&E & retired equity pay-off debt). We will also have time to gather more information about the qualities of Plexicushion. Then we can decide whether or not to install Plexicushion on the slip sheet surface. Waiting to decide may also allow us to avoid borrowing money for this expense.

An informal show of hands revealed that a significantly larger number of attendees preferred the slip sheet and plexipave option for all 6 courts.

The meeting adjourned at approximately 6 o’clock.
